Job Summary:
We are seeking an experienced and detail-oriented Accounts Receivable and Payroll Manager to join our team. This individual will manage all accounts receivable processes, ensure timely collection of outstanding invoices, accurately enter payroll data into our proprietary system, and manage Vendor Management Systems (VMS) and Managed Service Provider (MSP) relationships. The role requires strong organizational and communication skills, the ability to handle multiple tasks simultaneously, and a solid understanding of accounting principles, payroll systems, and VMS/MSP platforms.
Key Responsibilities:
Payroll Management:
- Oversee the accurate and timely processing of payroll for all temporary and permanent staff.
- Enter and manage payroll data on a weekly basis including deductions and benefits.
- Ensure compliance with federal, state, and local wage and hour laws, and company policies.
- Coordinate with HR and operations to confirm employee hours and job classifications.
- Maintain accurate payroll records and generate reports for internal and external audits.
- Work with management to address payroll discrepancies or concerns.
- Send important payroll reminders to clients and employees.
Accounts Receivable:
- Oversee the accounts receivable functions, including invoicing, collections, and managing client accounts.
- Ensure all client invoices are accurately prepared and distributed in a timely manner.
- Monitor aging reports and follow up on overdue payments, working closely with clients to resolve discrepancies and ensure prompt payment.
- Reconcile client accounts, ensuring all payments are correctly applied and balances are accurate.
- Work closely with the sales and operations teams to resolve billing and payment issues.
- Maintain detailed records of accounts receivable transactions and generate reports for management.
- Develop and implement strategies to improve cash collection and reduce bad debt.
VMS/MSP System Management:
- Manage and utilize Vendor Management Systems (VMS) for client invoicing, staff tracking, and vendor interactions.
- Ensure accurate and timely entry of employee data, timesheets, and payroll information into VMS/MSP systems.
- Maintain regular communication with VMS/MSP providers to troubleshoot issues, manage system access, and ensure smooth operational workflows.
- Ensure the accuracy of billing and payment information within the VMS/MSP platforms, resolving discrepancies as needed.
- Audit data provided in Vendor Management System to identify and resolve discrepancies within the dispute limits.
- Develop and implement best practices for using VMS/MSP systems to streamline billing, reporting, and payroll processes.
- Provide training and support to internal teams on the use of VMS/MSP systems to ensure consistent usage and compliance.
Qualifications:
- Preferred: Associate’s degree in Accounting, Finance, Business Administration, or equivalent experience.
- Minimum of 3 years of experience in data entry, accounting, or payroll management.
- Proficiency in Microsoft Office Suite (Excel, Word) and/or other data entry software.
- Proven experience in data entry or similar roles including data auditing to ensure data accuracy.
- Excellent organizational skills with attention to detail.
- Ability to work independently and as part of a team.
- Problem-solving and analytical skills.
- Strong written and verbal communication skills.
- Ability to handle confidential and sensitive information with integrity.
- Ability to manage multiple priorities and meet deadlines.
Additional Skills ~ Preferred:
- Knowledge of staffing industry-specific payroll challenges (e.g., temporary staff, job placements, contract workers).
- Experience working with Vendor Management Systems (VMS) and Managed Service Provider (MSP) groups (e.g., Beeline, Fieldglass, or similar).
